How Families Stay Informed Every Week During an 18-24 Month Custom Build Without Living on the Job Site
The single most common complaint families have about previous custom home experiences is not budget or schedule — it is silence. Weeks pass without an update. Calls go unreturned. Photos arrive only when the family asks. By month nine the relationship has eroded, even when the work itself is excellent. We built our communication system specifically to prevent this.
Every Peters Custom Homes client receives access to a dedicated project portal from the day the contract is signed. The portal contains the construction schedule, every selection decision, every change order, every invoice, every inspection result, every photo log, and every weekly progress report. It is the single source of truth for the project.
This page explains exactly how communication works during your build — what you receive, when you receive it, and how to reach the team between scheduled touchpoints. Transparency is not a marketing word here; it is an operational system.
Our Approach
Weekly progress reports are issued every Friday by your dedicated project manager. Each report includes: work completed that week, work scheduled for the following week, any issues discovered and how they are being resolved, any selections decisions still pending from the family, and an updated photo log of every elevation and key interior space.
Photo logs run roughly 30-60 images per week during active construction. They are organized by trade and by room, time-stamped, and stored in the portal indefinitely. Several of our families have used the archived photo logs years later when planning future renovations or when documenting insurance claims.
The portal also tracks selections status against lead-time deadlines. If a decision needs to be made in the next two weeks to keep the schedule, the portal flags it. If a decision is made and a vendor purchase order goes out, the portal records it. There is no ambiguity about who owes whom what at any given moment.
Design Collaboration
In addition to the weekly written report, every project gets a scheduled 30-minute video call every other week with the project manager and (when warranted) the founder. These calls walk through the photo log, address questions, and lock in any decisions due in the next cycle. Calls are scheduled in advance for the entire build, so families can plan around them.
Between scheduled touchpoints, families can reach the team through the portal's messaging system, by phone, or by text. Project managers respond to messages within one business day; urgent items get same-day response. The founder is reachable directly when issues warrant it.
We deliberately do not use real-time job-site cameras. They produce more anxiety than insight — families see workers idle for fifteen minutes and assume the schedule is slipping, when in fact a delivery is being staged. Curated weekly photos with context outperform raw video feeds for client experience and trust.
Construction & Craftsmanship
Site visits with the family are scheduled at five defined milestones: foundation pour, framing complete, mechanical rough-in, drywall complete, and final walkthrough. Each milestone visit lasts 60-90 minutes, includes the project manager and the lead trade for that phase, and produces a written milestone report added to the portal.
Between milestones, families are welcome to visit the site by appointment. We require appointments for safety and insurance reasons and because trades work more efficiently when site access is predictable. Spontaneous walk-throughs disrupt schedules and have caused safety incidents at other firms.
Change orders flow through the portal with a documented decision trail. Every change has a written scope, a fixed price, an updated schedule impact, and a digital signature from the family before any work begins. There are no verbal change orders and no surprise line items at closeout.
